3. How we use your information

We may use your personal information to:

  • respond to your enquiry;

We will not sell your personal information to third parties.

4. Our lawful basis for using your information

Under UK data protection law, we must have a lawful basis for processing your personal information.

Depending on the circumstances, we may rely on:

Legitimate interests — where it is necessary for our legitimate business interests, including responding to business enquiries, managing prospective customer relationships, following up enquiries, operating and improving our advertising services and marketing our services appropriately.

Steps before entering into a contract — where you ask us to provide information, discuss an advertising package or take steps towards entering into an advertising agreement.

Contract — where processing is necessary to administer an advertising agreement or provide services you have purchased.

Legal obligation — where we need to process information to comply with a legal or regulatory requirement.

Consent — where consent is required for a particular form of communication or processing. Where we rely on consent, you may withdraw it at any time.

Where we rely on legitimate interests for direct marketing, you have the right to object to that processing at any time.

5. Marketing communications

If you submit an enquiry about one of our advertising opportunities, we may contact you using the contact details you provide to respond to and follow up that enquiry.

We may also contact business prospects about relevant Fieldway Advertising opportunities where permitted by applicable law.

You can ask us to stop sending you marketing communications at any time by:

  • telling a member of our team;
  • replying to an email asking us to stop; or
  • contacting us at ian@fieldwayadvertising.com.

If you object to direct marketing, we will stop using your personal information for that purpose.

6. Meta, Facebook and Instagram lead forms

We advertise through platforms operated by Meta, including Facebook and Instagram.

If you submit a Fieldway Advertising enquiry using a Meta Instant Form, Meta collects the information you enter and makes that information available to us so that we can respond to your enquiry.

Meta processes information under its own privacy terms and policies. Fieldway Advertising is responsible for how we use the personal information we receive from your enquiry after it is provided to us.

We may use information about the source of an enquiry — such as the relevant advertising campaign, advertisement, form or golf club — to understand and improve the performance of our advertising.

7. How we store and manage leads

We use business systems and service providers to manage enquiries and customer relationships.

This may include customer relationship management and database services such as Airtable, together with other technology providers that help us operate our business.

We may store information such as:

  • your contact details;
  • business information;
  • enquiry source;
  • sales status;
  • follow-up dates;
  • communication history; and
  • notes relating to your enquiry.

These providers process information on our behalf or provide services that enable us to operate our business.

8. Who we share information with

We may share personal information where necessary with trusted service providers that help us operate Fieldway Advertising, including providers of:

  • customer relationship management and database systems;
  • email and communications services;
  • website hosting and technology;
  • advertising and analytics services;
  • accounting and payment services;
  • professional advice; and
  • IT and data storage.

We may also disclose information where required by law, regulation, court order or another lawful authority.

We do not sell your personal information.

9. International transfers

Some of the technology and service providers we use may process or store personal information outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps to ensure that the transfer is made in accordance with applicable UK data protection law and that appropriate safeguards are used where required.

10. How long we keep your information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including responding to enquiries, managing prospective and existing customer relationships, maintaining appropriate business records and meeting legal, accounting and regulatory obligations.

For prospective customer and marketing information, we generally retain information for 24 months following the most recent meaningful interaction, unless there is a legitimate reason to retain it for longer or you ask us to stop using it for marketing.

Where you become a customer, certain records may need to be retained for longer to comply with legal, accounting and tax requirements.

We may retain limited information on a suppression list where necessary to ensure that we respect a request not to receive further marketing.

11. Your data protection rights

Depending on the circumstances, UK data protection law may give you rights including the right to:

  • request access to personal information we hold about you;

  • object to direct marketing at any time;
  • request the transfer of certain information where applicable; and
  • withdraw consent where we rely on consent.

These rights are subject to certain legal conditions and exemptions.

To exercise your rights, contact us at ian@fieldwayadvertising.com.

12. Your right to object to direct marketing

You have the right to object at any time to the use of your personal information for direct marketing.

If you ask us to stop using your information for direct marketing, we will do so.

We may retain limited information necessary to record and respect your request.

We may use advertising and analytics technologies to measure campaign performance and help us understand which advertising is effective.

15. Third-party websites and platforms

Our website, advertisements or communications may contain links to third-party websites or services.

Those organisations operate under their own privacy policies, and we are not responsible for how they process personal information independently of Fieldway Advertising.

16. Changes to this privacy policy

We may update this privacy policy from time to time to reflect changes in our business, technology, legal requirements or how we process personal information.

The latest version will be published on our website with the date it was last updated.
